Privacy Policy
Last updated: 4 November 2026
This policy explains what personal information the Green Horizons website (greenhorizons.org) collects, why, who it is shared with, how long it is kept and what your rights are under UK data protection law (UK GDPR and the Data Protection Act 2018). Cookies are covered in more detail in our Cookie Policy.
Who we are
The website is run by Green Horizons Grounds Maintenance (“Green Horizons”, “we”, “us”). We are the controller of the personal information described here. For any privacy question or request, email support@greenhorizons.org.
What we collect and why
The contact form
When you send the contact form we collect your name, location, email address, telephone number and message. The form also adds your IP address to the email we receive, so we can spot spam and abuse. We use these details to reply to you, give an estimate, arrange a site visit and prepare a quotation.
Lawful basis: taking steps at your request before a possible contract, and our legitimate interest in answering enquiries and keeping the form free of abuse.
Emails and phone calls
If you email or phone us, we use the details you give us to deal with your enquiry. Lawful basis: as for the contact form.
Spam protection
To stop the form being flooded, the server allows up to five messages per hour from each connection. To do this it stores a scrambled (one-way hashed) form of your IP address with the times you sent the form. It is used for nothing else. Lawful basis: our legitimate interest in keeping the website secure.
Server logs
Like most websites, our web server records each request it receives: your IP address, the date and time, the page or file requested, the page you came from and your browser type. We use these logs only to keep the site running and secure and to fix faults. Lawful basis: our legitimate interest in running a secure website.
Google Ads measurement
Every page loads the Google Ads tag (Google’s “gtag” script). It tells Google when someone who clicked one of our adverts visits the site, opens the contact page, or taps one of our phone numbers or our email address, so we can see which adverts lead to enquiries. Google receives your IP address, browser and device details, the pages you visit and cookie identifiers. It uses cookies described in our Cookie Policy.
At present the tag loads as soon as a page opens; the site does not ask for your consent first. You can stop it by blocking third-party cookies or using a content blocker in your browser, and you can control Google’s advertising use of your data in Google’s My Ad Center. Lawful basis we rely on: our legitimate interest in measuring whether our advertising works. Google also uses this information for its own purposes as described in Google’s Privacy Policy.
Website code from Cloudflare
Our pages load the jQuery library from cdnjs, a service run by Cloudflare. To deliver it, Cloudflare receives your IP address and browser details. We do not receive anything back from Cloudflare about you.
The “We’re hiring” notice
If you close the hiring notice, your browser stores a small cookie so the notice stays hidden for 30 days. It contains no personal details.
What we do not do
We do not sell your information, we do not use it for automated decisions about you, and we do not send newsletters or marketing emails from this website.
Who we share it with
- Google: contact form messages are sent through Google’s Gmail service and kept in our Gmail inbox. Google also runs the Google Ads tag described above.
- Cloudflare: delivers the jQuery code file (cdnjs).
- Our hosting provider: runs the server the website is on, which holds the server logs and spam-protection records.
- Others where the law requires it, for example the police or HMRC.
Transfers outside the UK
Google and Cloudflare may process information in other countries, including the United States. They protect these transfers using the UK’s approved safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK’s International Data Transfer Addendum to standard contractual clauses.
How long we keep it
- Enquiries (form messages and emails): as long as we need to answer them and give a quotation. If you become a customer, we keep your details for six years after our last work for you, for our accounts and tax records. Other enquiries are deleted within two years.
- Server logs and spam-protection records: kept on the server only until it is next updated or restarted, which normally happens within weeks.
- Google Ads cookies: up to 90 days on our website and up to about 13 months on Google’s own domains. See the Cookie Policy for each cookie.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use it;
- object to our use of it where we rely on legitimate interests;
- ask for information you gave us in a format you can take elsewhere.
To use any of these rights, email support@greenhorizons.org. It is free, and we will reply within one month.
Complaints
If you are unhappy with how we use your information, please tell us first at support@greenhorizons.org. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint.
Children
Our services are for adults, businesses and organisations. The website is not aimed at children.
Changes to this policy
We will update this page if the website or the way we use information changes. The date at the top shows when it last changed.
